Depending on how you use the website, we may collect:

  • Your name, business name, email address, telephone number and enquiry details.
  • Information you provide while discussing or arranging a service.
  • Energy bills submitted as JPG, JPEG or PDF files. These may contain names, addresses, account references, supply details, usage and charges.
  • Correspondence and records of our dealings with you.
  • Basic technical, security and usage records generated by our website and hosting provider, such as IP address, browser information and request logs.

Please do not provide personal information that is not needed for your enquiry.

3. Why we use your information

We use personal information to:

  • Respond to enquiries and take steps you request before entering into a contract.
  • Review accounts, prepare quotations and provide or administer services.
  • Operate, protect and improve the website and our business where this is in our legitimate interests.
  • Keep appropriate business and financial records and comply with legal obligations.
  • Send marketing only where you have agreed to it or where the law otherwise permits. You can opt out at any time.

Our lawful bases may therefore include taking steps before a contract, performing a contract, legitimate interests, compliance with a legal obligation and consent, depending on the circumstances.

4. Energy bill uploads

Only upload a bill if you are authorised to share it. Uploaded bills are stored securely by the website for up to seven days so that Swappi Technologies can review and process the enquiry.

The relevant bill and contract information is then transferred to Fidelity Energy's secure CRM system for quotation and account handling. The website copy is manually deleted once that transfer has been completed and, in any event, within seven days of upload.

5. Who we share information with

We may share relevant information with:

  • Fidelity Energy and other relevant energy suppliers where needed to prepare or progress your energy quotation.
  • Telecoms, IT, app and website delivery partners where needed for your enquiry or service.
  • Suppliers being considered for a quotation or contract.
  • Website hosting, storage and other technology providers acting for us.
  • Professional advisers, insurers, regulators, courts or law enforcement where reasonably necessary or legally required.

We do not sell personal information.

6. Retention and international processing

We keep information only for as long as reasonably necessary for the purpose collected, including handling your enquiry, delivering services, meeting legal and accounting requirements, resolving disputes and establishing or defending claims. The period depends on the nature of the information, whether a relationship proceeds and any legal retention requirement.

Uploaded energy bills are retained on the website for no longer than seven days. They are then manually deleted from the website after transfer to Fidelity Energy's CRM. Information held in Fidelity Energy's CRM is retained in line with the quotation, contract, legal and regulatory requirements that apply to that service.

Some technology providers may process information outside the UK. Where this happens, we require an appropriate lawful safeguard or rely on another transfer mechanism permitted by UK data protection law.

7. Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the use of your personal information, and to receive certain information in a portable format. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier lawful processing.

Contact us to exercise a right. We may need to confirm your identity. You may also complain to the Information Commissioner's Office.

8. Security, links and changes

We use reasonable organisational and technical measures to protect information, but no online service can guarantee absolute security. This website may link to services operated by others, whose privacy practices are their responsibility.

We may update this policy when our services, suppliers or legal obligations change. The date at the top shows the latest revision.
